Advertisement
It is important that your conference incorporates effective and
thorough advertisement. This could be an assignment given to
marketing or other classes. It is also best to find the most
effective means of advertisement that will boost conference attendance.
Note that many institutions require that outside endorsements,
sponsorships, advertising, and promotion be approved through your
institution's public relations or development office. It is important
to consult with the appropriate office before approching potential
sponsors or supporters.
National-level advertising and sponsorship pitches
should be approved in advance through the MEIEA-designated Student
Liaison. For example, firms such as ASCAP, BMI, and SESAC
should only be contacted after the MEIEA Board grants approval.
Following are some suggestions for advertising and promotion:

Consult with the appropriate office before approching potential
sponsors or supporters.
•
Create street teams to promote the conference
•
Send notices to other colleges, universities, vocational schools in the
region
•
Send press releases to college papers, local papers, music papers,
alternative news
•
Hang posters with permission in music shops, record stores, and other
appropriate outlets
•
Use national MEISA webpage and social media sites
•
Send regularly updated info to the national MEIEA/MEISA webpages
•
Send info to the MEIEA office to email the educator & student
membership
•
Send announcements to public access TV channels, campus radio station
or be a guest on such programs to discuss the conference
Funds
•
Each regional conference should have as its goal to at least break even
•
Seek funding from your associated student government, MEIEA Grant
program, college activity funds, etc.
•
Sponsorships from local businesses may be secured in exchange for
advertising
in conference program, display of banners, etc
(National-level sponsors can be secured only with MEIEA approval).
•
Keep precise accounting of all income and expenses and keep available
for audit at any time
•
If possible, the local MEISA chapter faculty advisor will create an
official billing account with
your school’s business office, so that
conference funds are not co-mingled with your local
chapter’s normal funds
Registration Fees
•
All payment of registration fees and registration paperwork will be
handled online by MEIEA
headquarters
•
Determine a registration fee that will allow your conference to at
least break even
•
Perhaps allow a small discount for registered MEIEA and MEISA members
•
Offer an early registration discount (helps determine possible
attendance)
•
Deposit all conference monies into an official university account (not
personal account) as
soon as possible
•
Pay all bills on time
•
Arrange details of how walk up registrations will be handled
